1) Agreement to Terms

By accessing or using WarmForm (“WarmForm,” “we,” “us,” or “our”), you agree to be bound by these Terms of Service. If you do not agree, do not use the platform.

If you are using WarmForm on behalf of a business entity (for example, a DJ company), you represent and warrant that you have the authority to bind that entity to these Terms, and “you” refers to both you and that entity.

2) SaaS Subscription Model

WarmForm is provided as a Software-as-a-Service (SaaS). Access to professional features is contingent upon maintaining an active Professional Subscription.

If payment fails
Your account may enter a Read-Only state (you can view data, but may be unable to create/modify key items).
If nonpayment continues
Access to certain features (including Client Portals) may be suspended until the subscription is restored.
Billing provider
Subscriptions may be processed through a third-party payments platform (for example, Stripe).

Note: Specific timing for read-only mode and portal suspension may vary based on plan settings and billing retries.

3) AI Output & Legal Responsibility

WarmForm may use advanced AI models (for example, Google Gemini) to help draft contracts, create copy, and suggest music ideas. These tools are designed to assist your workflow, not replace professional judgment.

  • No Legal Advice: WarmForm does not provide legal advice. AI-generated contracts are templates and should be reviewed by you and, where appropriate, your legal counsel.
  • Accuracy / Enforceability: We do not guarantee that AI-generated documents will be accurate, complete, or enforceable in every jurisdiction. You are responsible for verifying outputs before using them.
  • Ownership: You own the copyright to the final contracts and documents you produce through the platform, subject to any third-party rights in materials you provide (for example, client-provided text).

Practical tip: If you’re using an AI-generated contract for a real wedding, treat it like load-in: double-check everything before showtime.

4) Service Availability (SLA)

We aim for 99.9% uptime, but we do not guarantee uninterrupted service. WarmForm may be unavailable due to scheduled maintenance, emergency maintenance, or outages involving third-party providers (including payments and infrastructure providers).

  • No liability for business loss: We are not liable for lost revenue, lost bookings, or other business impacts due to downtime.
  • Backups recommended: We recommend maintaining local backups of critical information (for example, event schedules and key contract files).
5) Termination & Cancellation

You may cancel your subscription at any time. Upon cancellation, your account may be downgraded or limited according to your plan’s rules.

After cancellation, your data will remain available for export for 30 days, after which it may be purged from our active production database in accordance with our data retention policy (subject to reasonable backup retention windows and legal obligations).

6) Acceptable Use

You agree not to misuse the platform. This includes:

  • Attempting unauthorized access to accounts, systems, or data.
  • Uploading malicious code or using the service to distribute malware/phishing.
  • Using WarmForm to violate laws, infringe rights, or collect data without permission.
  • Abusing rate limits or interfering with platform stability.
7) Modifications to the Service or Terms

We may modify the service or these Terms from time to time. If changes are significant, we’ll provide a clear notice (for example, in-app or on this page). Continued use of WarmForm after changes become effective constitutes acceptance of the updated Terms.

WarmForm is a business management platform for professional Wedding DJs. We treat your data like the “don’t-read-this-aloud” part of the reception timeline: carefully handled, tightly controlled, and never shared casually.

1) Commitment to Privacy

We recognize that the information handled inside WarmForm can be highly sensitive, including couples’ personal wedding details and business credentials used to run your operations. This policy describes what we collect, why we collect it, how it’s protected, and what choices you have.

2) Data Collection & Processing

WarmForm processes three primary categories of data:

  • Professional DJ Data: account login details (via your authentication provider), business identity (business name, contact email), and integration tokens (for example: Stripe API keys, Google Calendar OAuth tokens).
  • Lead & Client Data: inquiry form details (names, emails, wedding dates, venues), planning notes, and music preferences or requests submitted through Client Portals.
  • AI Synthesis Data: selected contract terms, event details, and “music vibe” prompts processed via an AI provider (for example, Google Gemini) to generate draft documents and suggestions.
Purpose
To provide the app features you request (CRM, contracts, payments, scheduling, portals).
Minimization
We aim to collect and transmit the least amount of data required for each action.
No Sale
We do not sell your personal data.
3) Data Security & Encryption

WarmForm utilizes enterprise-grade infrastructure (including Supabase) for authentication and data storage. Data is encrypted at rest (AES-256) and in transit (TLS 1.3).

  • Access controls: role-based access and least-privilege practices.
  • Token handling: integration tokens are stored in secured environments and used only to perform actions you initiate.
  • Operational safeguards: audit logging and monitoring are used to help detect abuse or unauthorized access.

Note: If you paste secrets into free-text fields (like notes), they may be stored as you entered them. We recommend never pasting passwords or full card numbers into notes.

4) Third-Party Integrations

To provide core functionality, WarmForm may interact with:

  • Google Cloud: calendar synchronization and AI processing (Gemini) when enabled by you.
  • Stripe: secure payment processing and optional financial ledger features.
  • Supabase: authentication and relational data storage.

Each provider maintains their own privacy and security programs. WarmForm transmits the minimum required data necessary to fulfill your requested actions. You can disconnect integrations in your settings (where available).

5) AI Processing Boundaries

When you use AI features (like generating contract language or vibe-based playlist suggestions), we send only the content needed to complete that request (for example: selected event details and prompts).

  • You’re in control: AI features run when you trigger them.
  • Drafts, not commands: AI output is meant for review, editing, and approval by you.
  • No surprise training claims: Third-party AI providers may have their own policies regarding data handling; review their terms for specifics.
6) User Rights (GDPR/CCPA)

As a WarmForm user, you retain ownership of your data. Subject to applicable law, you may request:

  • Access: receive a copy/export of your account, leads, and client records.
  • Deletion: permanently delete your account and associated data.
  • Correction: update inaccurate information.
  • Portability: export your data in a reasonable format (where available).

Requests can be made through your Support flow or Settings panel (where available).

7) Data Retention

We keep data for as long as needed to provide the service and meet legitimate operational requirements (like backups, fraud prevention, and compliance). When you delete your account, we will initiate deletion of associated data, subject to reasonable backup retention windows and legal obligations.

8) Cookies & Analytics

WarmForm may use essential cookies or local storage for login sessions and app functionality. If we use analytics, we aim to use privacy-respecting configurations and avoid collecting unnecessary personal data.
